I initially thought of Notion as a note-taking app. It’s based around blocks, and initially blocks were paragraphs, headings, images, and bullet points. But it has developed. In particular, with the addition of databases, Notion is now a powerful productivity tool that can help language schools streamline their operations and improve communication between teachers, students, and administrators. Here are some ways that language schools can use Notion to their advantage.
School administration system
If you have a school administration package you probably won’t be running to change to Notion any time soon. But if you’re running your school on a collection of spreadsheets you should definitely consider changing to Notion. I’ve been working with a client recently who runs a school bringing kids to Spain to do intensive immersion courses. With Notion, we have a record of the students, host families, and activities scheduled for the duration of their courses. Notion is used in the organisation and provides a historical record of what has happened.
Resource organisation
Language schools often have a wealth of resources, such as textbooks, videos, and other materials, that can be difficult to keep track of. Notion can help schools organize these resources in a central location, making it easy for teachers and students to find what they need. In addition, it can work as a wiki, and all institutional knowledge on how things are done, on courses, on course materials, on student registration, can be supported by Notion.

This helps to keep everything organised and easy to access, reducing the need for students to sift through multiple emails or folders to find what they need. Any page in notion can be made available externally, and the students don’t even have to have notion accounts.

Notion can be your everything hub. These days, it’s not uncommon to have information spread across a variety of online systems. You may have a bought-in administration system, course information on Google Docs, fees calculators in Google Sheets, and lots of folders knocking about with course material. You can move some of these right into Notion, and provide links to the others. This means that everyone knows to go to Notion as the central resource, and can then be routed to other sources as necessary. It can work as the ‘glue’ that pulls all the strands together.
Online
If there’s one thing I learnt during the pandemic, it’s the importance of having online access to all aspects of running a school. The ability to administer the school from any internet-connected PC or laptop is invaluable, and enables working from home, or even just from your mobile in a pinch or if something important comes up.
